Scheduling a Personal Audio Conference with Zoom

Users can schedule Zoom meetings directly from Outlook with two methods.

Using the Zoom for Outlook Add-In or the Zoom Outlook Plug-in.



Zoom for Outlook Add-In


The Zoom for Outlook Add-In is enabled on the Princeton O365 account and should be visible for all users. (Learn more about the setup of the Zoom for Outlook Add-In).

The user can open a new appoint/event from their calendar and on the new window, the Add-In will be visible.
It's in the top right of the ribbon bar.

A user can add a Personal Audio Conference into the invite by clicking the Settings Gear Wheel.

This will open the Zoom Settings side pane.

To schedule a video Zoom Meeting, the user can click the Add Zoom Meeting button (Learn More), but to insert the Personal Audio Conference into the meeting invite the user needs to select the V arrow beside the Add Zoom Meeting, and then select which Personal Audio Conference that they would like to use for this meeting/invite.

Once, the Account option is chosen, it will insert the Personal Audio Conference information into the invite for the user to send out.

Zoom Outlook Plug-In


The Zoom Outlook Plug-In is a separate download that can be implemented with the Outlook for the user. View the prerequisites for the Zoom for Outlook Plug-in.


The Zoom Outlook Plug-In is available for the user that has the app installed, within their Outlook window on the ribbon bar to the left side.

From the Calendar view, the user can select the V under the “Schedule a Meeting” option and choose the specific Account from their Personal Audio Conference.

From the Invite/Appointment window of Outlook, the user can see that the Personal Audio Conference is already an option and choose which account to insert on this invite.

Prerequisites for Zoom Outlook Plug-In

· Windows: Microsoft Outlook 2010 or higher (2007 with limited features), or Outlook as part of Microsoft Office 365

· macOS: Microsoft Outlook 2011 or higher, macOS 10.14 Mojave or above* 

· You must have the Zoom client installed and be logged in to your account

· Install the Zoom Microsoft Outlook Plugin from Zoom

· 64-bit PC or Mac (the Outlook plugin is an 64-bit application; if you're using a 32-bit system, consider using the Zoom for Outlook add-in)

*macOS 10.15 Catalina does not support plug-ins, including the Microsoft Outlook Plugin for Zoom.
