This environment is most appropriate for administrative/academic department staff and faculty interested in managing their processes and resources through workflows, forms, approval routing, calendars and shared documents. Team-oriented project work and departmental intranets are the typical implementation for this collaborative solution at Princeton.

Audience

Staff and Faculty can request and manage SharePoint site collections.

Any user with a Princeton net ID can access SharePoint sites once provisioned by the site collection administrator.  

Description

Microsoft SharePoint is a document management and collaboration platform that enables the storage and sharing of documents, lists, calendars, workflow, and group discussions vital to departmental business processes or one-off project-based processes. Disseminated administration of site collections to the requesting party allow for user-driven configuration and unstructured document management that meet the needs of the initiative.

Benefits:

  • Once SharePoint Site Collections are created, they can be customized by site administrators to organize and share information in a manner that is fitting to the business purpose
  • Integrates with the Microsoft Office suite of products
  • Allows for unstructured document and data storage
  • Can customize lists, calendars, wikis, workflow, alerts, RSS feeds and forms as needed
  • Enables collaboration for wide audiences                          

Limitations:

  • User-driven retention
  • Not ideal for batch scan of archive documents
  • Limited ability to integrate with university business applications
